Contractor privacy notice
How Interface Aesthetics handles the information you give us when you join us as a trainer, facilitator or contractor.
Who we are
Interface Aesthetics Training Ltd, company number 13469357, registered at 225 Clapham Road, London, England, SW9 9BE, trading as Interface Aesthetics. We are the data controller for the information described here.
We are registered with the Information Commissioner’s Office, registration number ZB326113.

What this notice covers
The information you provide through our contractor onboarding form, and what we then hold about you while you work with us. It does not cover information about course delegates, model patients or website visitors, which is covered by our main privacy policy.
What we collect

| Declarations | Your confirmation that you have the right to work in the UK on a self-employed basis, and whether you are subject to any investigation, restriction, condition, undertaking or suspension by a professional regulator, together with any details you give. |
| Your contract | The agreement you sign with us and the record of you signing it. |
Why we need it, and our lawful basis
- To enter into and perform our contract with you. Your contact details, invoicing details and the contract itself. Lawful basis: performance of a contract.
- To satisfy ourselves that you are properly registered, insured and qualified to deliver our training. Your registration, insurance, qualifications and declarations. Lawful basis: our legitimate interests in running a training business safely and in meeting the standards our learners, awarding bodies and insurers expect of us.
- To pay you and keep proper accounting records. Lawful basis: legal obligation, and performance of a contract.
We do not rely on your consent for any of this, so you cannot withdraw consent as a way of stopping it. If you object to how we use your information, the routes open to you are set out under Your rights below.
Where it comes from
Almost all of it comes from you. We may also check your registration against the public register kept by your regulator, which is information already published by them.
Who else sees it
- Airtable, which hosts our contractor records and the onboarding form.
- SignWell, which issues and stores your contract for signature.
- Microsoft, which provides our email.
- Xero, our accounting system, for paying you.
- Our accountants, for the same reason.
- Awarding bodies, regulators or insurers, where they ask us to evidence who delivered training and on what basis.
We do not sell your information and we do not use it for marketing.
Where it is stored
Airtable and SignWell are based in the United States, so your information is transferred outside the UK. Those transfers are made under the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for details of the safeguards in place.
How long we keep it
We keep your records for six years after you stop working with us. Six years matches the period in which a contractual claim could be brought against either of us, and the period our accountants need for tax records. Registration and insurance certificates that have expired are kept for the same period, because they evidence that you were properly covered at the time you delivered.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete information we no longer have a reason to keep
- restrict what we do with it while a dispute is sorted out
- stop relying on legitimate interests, by objecting to that use
Email operations@interfaceaesthetics.co.uk and we will respond within one month. Some information we are required to keep even if you ask us to delete it, for example accounting records, and we will tell you if that applies.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
If we change how we use your information we will update this notice and, where the change matters to you, tell you directly.
